Privacy Policy

At Joy for Languages, we’re committed to protecting and respecting the personal information that we hold about you and your child. This Policy explains why we collect this personal information, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

By contracting with Joy for Languages to use our language classes, you agree – and Joy for Languages agrees – to be bound by this Privacy Policy.

The Personal Information we hold

The personal information we hold is provided by you when you enrol your child for our language classes and includes your child’s name, your address, email address, contact telephone number, your child’s year group and class at school. We also hold any information you choose to provide about medical/learning issues that may affect your child in our language classes.

If you pay your term fees online, your card information is not held by us. It is collected by our third party payment processor (Paypal), who specialise in the secure online capture and processing of credit/debit card transactions.

How is your information used?

We use your information as follows:

  • to carry out our obligations arising from our contract with you to provide language classes for your child;
  • these may include sending you communications about the learning programme, lesson content, term fees and progress reports.
  • these may also include notifying you about changes affecting the classes as they may occur including changes to times, locations, tutors, fees and class special events.
  • to enable our Tutors to prepare and run the languages classes safely and successfully
  • to enable accurate reporting of registers with the host School or Nursery
  • we hold your contact details and your child’s details in case we need to contact you in an emergency;
  • to facilitate your online payments via our third party payment processor (Paypal)

We hold your personal information for the period that we provide language classes for your child and we retain it for a period of 1 month afterwards to allow us to reconcile our accounts.

Who has access to your information?

The following people necessarily have (controlled) access to your information, in order for us to provide languages classes for your child.

School Office Administrator: At the School or Nursery where we provide your child’s language classes, and with the safety of your child in mind, we may pass your information to the School Office Administrator for the purposes of keeping accurate registers of who is due to attend each class. However, we disclose only the personal information that is necessary to achieve this.

Third Party Service Providers working on our behalf: We work with certain third party service providers to support us in our business of providing language classes (for example to provide us with a secure membership management database and specialist IT support). In the course of obtaining these necessary services, we may pass your information to these third party providers (for example to securely host our database). However, we disclose only the personal information that is necessary to obtain the service and we have a contract in place with them that requires them to keep your information secure and not to use it for their own purposes.

Payment Processing: When you use our online payment pages, your payment is processed by a third party payment processor (Paypal), who specialises in the secure online capture and processing of credit/debit card transactions.

In the event of Business Transfer: If we ever decided to transfer or sell some or all of our business to a new provider of language classes then as part of that process we may transfer your personal information to the new provider to ensure that your child continues to receive the language classes you have purchased. However, in such an event, we would take steps to ensure that your privacy rights continue to be protected.

No other sharing: We will not otherwise share or release your information, unless we are required to do so by law, for example, by a court order.

How you can access and update your information

You can view, and update if necessary, the personal information we hold by logging in to the My Account section on our website.

Protecting your information

When you give us personal information, we take steps to ensure that it’s treated securely. We do not process your credit or debit card details on our own site.

Other details (your email address etc.) are transmitted to us normally over the Internet. Once we receive your information, we take steps to ensure its security on our systems. You have password-controlled access to certain parts of our website, and you are responsible for keeping your chosen password confidential. We ask you not to share it.
